At Byus Design Limited, we are committed to maintaining the trust and confidence of our visitors to our website and our clients.

You’ll see in this Privacy Policy, we’ve provided detailed information on the personal data we collect, how we use it, the limited legal conditions under which we may disclose it to others and how we keep it secure.

 

What information do we collect?

We collect information from you when you fill out a form to enquire about our services.

The enquiry form requests your name, e-mail address and a brief message of your enquiry.

You are visiting our site anonymously until you choose to complete the enquiry form, at which point when you click on the Google reCaptcha “I am not a robot” tick box, the Google NID cookie will be stored.  Further information about cookies is in the ‘Do we use cookies?’ section.

On our follow up email to your initial enquiry, we may ask for your business address and a contact number so that we can arrange meetings and to administer quotations and invoices.

If we are commissioned to build your website or produce graphics, we may ask for additional information including your business registered address, company number, VAT number and payment gateway information.  But we will only ask for this information, if it is absolutely necessary to complete the work we have been commissioned to do.

 

Where do we store your information?

Your information is stored in our email client ‘Microsoft Outlook’ for the purpose of communicating with you.  All information described above is stored at our office of operation on an encrypted drive including an encrypted back-up for the purpose of you holding an account with us.

 

What do we use your information for?

The information we collect from you may be used in one of the following ways:

Although we don’t share your information with other companies, there may be times when a particular website feature you require, may involve your information being shared.  We will not share any information without first informing you of its intended purpose, who we are sharing it with and what we intend to share. We will require consent from yourself before sharing such data.

 

How do we protect your information?

We implement a variety of security measures to maintain the safety of your personal information when you enter, submit, or access your personal information.

Our website content is encrypted and can be verified by clicking on the green padlock to the left of our website address.

This also means that the information you provide on the enquiry form is encrypted.

In addition, we use a digital signature in all emails that we send out from john.bishop@byusdesign.com.  This confirms that when you receive an email from this address, it has been sent from a ourselves and not from a questionable source that may have illegal intentions.

All websites that we build for our clients are encrypted using a secure socket layer (SSL) that encrypts the content including content sent via enquiry forms.

E-Commerce websites that we build for our clients, to sell their products and services, are encrypted using SSL and payment gateways like PayPal, that the client chooses to use for the collection of payment for their products and services should also have their own privacy policies and adhere to the compliancy regulations of the GDPR.  Payment gateways involve payment details being collected on the payment gateway website and not the client’s website, so falls outside the scope of our privacy policy.

It is advisable for clients to confirm that their chosen payment gateway provides a secure means of collecting payments that meets with GDPR requirements.

 

How long do we keep your information?

We only keep your information for as long as we are providing a service to you and for as long as we have your permission to store and use your information.

 

Do we use cookies?

Cookies are small files that a site or its service provider transfers to your computers hard drive through your Web browser (if you allow) that enables the sites or service providers systems to recognise your browser and capture and remember certain information.

Our website’s enquiry form uses the Google reCaptcha NID cookie to collect information for the purpose of verifying that the form has been completed by a human and not a robot.

We use Google reCaptcha to minimise spamming and to recognise legitimate enquiries from real people.

The NID cookie has a life span of 6 months, but can be removed if you clear your internet browser history including stored cookies.

Do we disclose any information to outside parties?

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential and secure. We may also release your information when we believe release is appropriate to comply with the law.

During the application process to purchase website domain names, your information may be used to show that you are the owner and controller of the domain.

The registrars that control the top level domains are in the process of anonymising domain information to protect your information as part of the GDPR requirement.  Before we purchase a domain on your behalf we will seek to gain confirmation that your information is secure and the GDPR requirements are met.

We use EUKHost as our hosting provider for our and our clients websites.  Their servers are based in the UK with no information being stored or backed-up abroad.

Graphic design work that we are commissioned to complete may contain contact information as requested by our clients, for the purpose of marketing.  All artwork is supplied to our print companies in a graphic file format that has been flattened so that the contact information isn’t contained within the file in a way that can be copied and pasted, but due to its nature, the artwork can be visual read to obtain the information.

 

Third party links

Occasionally, at our discretion, we may include or offer third party products or services on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and your information and will only provide third part products or services that have shown that they meet the GDPR requirements.

 

Your Rights

You have a right to request that the information we hold on you is deleted, rectification or restriction placed on how we use it.  In addition you have a right to request that we send you information on the data we hold on you.  All requests should be placed in writing or by email sent to the Data Controller. Details are provided at the foot of this privacy policy.

 

Data breach

In the unlikely event that we detect a data breach, Byus Design will comply with ICOs guidance on notification.  Our Data Controller, the ICO, affected data subjects, police and any other affected parties where necessary will be informed within the time-frame set out by the GDPR.
